1. Function

  • Takes fully responsibilities for the day to day running of maintenance department to ensure all maintenance operations meet and align with legal requirement and Vision, Mission, Business Strategy of Company. Manages all maintenance operations to support production and ensure factory is able to run continuously to maximum capacity, efficiency and output at any time.

2. Report to

  • Reports directly to Chief Executive Officer (CEO)

3. Responsibilities and Duties

A maintenance manager shall be expected to perform the following tasks:

3.1 Maintenance Operation Management

  • Plan, prioritize, organize and implement both reactive and preventative schedules on fabrication, installation, repair, overhaul and maintenance of machines, equipment, utensils such as trolley, tables, cabinets ect, mechanical and electrical systems including fire fighting and security equipments to ensure safe and continuous operations of production and the whole factory.
  • Ensure efficiency, on time delivery and safety of maintenance operations within approved cost and budget by achieving all Key Performance Indicators (KPIs)
  • Develop and implement new methods, best practices to improve maintenance operations, minimize operating costs, and effect greater utilization of labor and materials.
  • Monitor operations, and inspect, test, and measure completed work, using devices, such as hand tools, gauges, and specifications to verify conformance to standards.
  • Regularly patrol maintenance work areas and production floor, examine machines and equipment to detect and correct unsafe conditions or violations of safety rules. Ensure that all machies and equipment are fit for purpose and to provide proactive support/solutions when required.
  • Recommend measure, such as procedural changes, service manuals revisions, and equipment purchases, to improve work performance and minimize operating costs.
  • Manage and control utilization of materials as well as the process of disposal of waste, obsolete machinery and equipment to prevent acts of fraud and stealing.
  • Coordinate and communicate with external contractors, suppliers and other service providers.
  • Request materials and supplies, such as tools, equipment, and replacement parts for work activities.
  • Compute and estimates actual costs of factors, such as materials, labor, and outside contractors, and prepares budgets.
  • Assigns workers to perform activities, such as service appliances, repair and maintain vehicles, and install machinery and equipment.
  • Control and monitor maintenance tool and spare part inventory.
  • Conduct risk assessments of processes and tasks, impose and implement safety rules and regulation within department to ensure safety and well being of maintenance workers and visitors at maintenance sites and work places.

3.2 General Management

  • Develop, review and implement standard operation processes (SOPs) and work instructions regarding maintenance work and control it with highest effectiveness and discipline.
  • Work with IT departments on developing needed database/software and implementing IT solutions to support department works.
  • Suggest improvements and changes at any where or when necessary.
  • Set and manage department objectives/KPIs for each area of responsibility, review and assess ongoing performance and ensure objectives/KPIs are met by working to the overall plan, including good management.
  • Make reports and presentations that provide a full picture about department performance, achievement of targets and efficiency, such as machine unplanned down time, maintenance cost, inventories, test results ect. Identify problem and actions required to improve performance or resolve problems.
  • Other related tasks assigned by immediate superior.

3.3 People Management

  • Manage, lead, motivate, coach and develop a high performing team that meets agreed objectives/KPIs, delivers continuous improvements and individual reaches their best ability.
  • Establish and promote a working spirit within department that encourages team work and cooperation, commitment and engagement, creative thinking and efficiency.
  • Consistently promote high standards through personal example and roll out through the team so that each member of the team understands the standards and behaviours expected of them.
  • Monitor the completion of tasks, motivate and coach to improve individual performance. Provide performance appraisal and feedback for individual on regularly basis and record on HR systems.
  • Communicate KPIs and ensure that each employee is aware from the beginning of appraisal period.
  • Lead and implement successional and retaining plan for keys staffs.
  • Work as internal trainer to provide continuous trainings and technical expertise to the team. Develop and implement skill tests to develop technical skills required in the team.

3.4 Relationship Management

  • Work closely with line managers to resolve related issues if any effectively and diplomatically.
  • Develop strong relationships with internal departments and ensure an effective interface with other departmental staffs at all levels is maintained.
  • Work as member of the Management team to share, recommend, support and implement continuous improvement ideas to optimise results and improve quality of delivery.
  • Communicate and coordinate with external contractors, suppliers and other service providers to ensure optimal performance is achieved.
  • Recommend solutions without compromising quality or service while optimising cost

3.5 Financial and Budget Control

  • Input and hold responsibility for department budgets
  • Prepare department annual budget and forecasts and all capital expenditure proposals as well as ensuring compliance with company finance and budget policy.
  • Manage the budget from identification to completion of projects

 1.General requirements                   

  • Nationality: Vietnamese
  • Gender : Male
  • Age: 30 to 45
  • Personality: Professional, organized, mature, highly motivated and above all honest, high integrity and openness combined with commitment to good governance and safety is first. Authoritative with strong character and logical thinking.

2. Education and Training

  • Bachelor’s Degree in Engineering or related field required
  • Strong knowledge of engineering concepts, including electrical, hydraulic, air compressing, mechanical systems, high frequency and CNC machines.

3. Experience and Qualification

  • At least 05 years of progressively responsible and professional experience for maintenance management role. Experience in wood working machines and furniture manufacturing industry is preferred.

4. Skills and other abilities

  • Good planning skill and natural leadership skill.
  • Effective interpersonal and written/oral communication skills in both English and Vietnamese
  • Good at coaching and training skill.
  • Able to work in a fast-paced environment and multi-task effectively
  • Excellent organizational and prioritization skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to handle high levels of pressure and critical decision-making.
