Office Administrator

I. PURPOSE

  • Perform Office Administration & HR tasks assigned

II. RESPONSIBILITY

  • Perform Admin-Office tasks, make sure storage certainly kinds of documents and records...
  • Fully and timely complete the types of papers, declarations… make sure that the company follows the state regulations.
  • Recruiting and manage candidate records to meet the demand about human resources in the company.
  • And other HR task.

III. MISSION

A. ADMINISTRATION TASK

1/ Hospitality

  • Reception

2/ Workplace management

  • Manage all office equipments and facilities: planning and execution for preservation, replacement or fixing.
  • Cooperate and proceed working with company suppliers to supply all facilities: evaluation price and competence, pitching & maintenance relationship. (Ex: office host, logistics, uniforms, water, FMCG, other stuffs…)

3/ Accounting & Tax support

  • Collect invoice and support to accounting dept. to proceed accounting task.
  • Work with Government Tax Department and Social Insurance Department to submit social insurance fee, tax fee….

B. HUMAN RESOURCE MANAGEMENT TASK

1/ Recruitment and assignment:

  • Cooperate to headhunt agency to recruit new personnel
  • Prepare recruitment material (JD, C&B, contract, NDA…) and align to other department manager for recruitment process.
  • Follow and execute the recruitment process & equivalent documents (qualify application, interview)
  • Prepares employees for assignments by establishing and conducting orientation programs.
  • Maintains the work structure by updating job requirements and job descriptions for all positions.

3/ Labour law & corporate regulation:

  • Maintains management guidelines by preparing, updating, and recommending human resource policies and procedures.
  • Assure the implementation of labour law & corporate regulations

4/ Training and improvement

  • Cooperate to department manager to prepare training & education plan / course for staffs.
  • Follow and execute the training and improvement process.

5/ Internal communications & affairs

  • Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements; conducting investigations; maintaining records; representing the organization at hearings.
  • Follow and execute internal communications activities to improve working environment to create a great workplace.
  • Organize company trip (inbound tours or abroad)

6/ Corporate culture:

  • Maintain and help the staffs to understand and follow the corporate culture.
  • Assist colleagues whenever necessary

7/ Self-learning

  • Proactive to learn professional training course and skill
