Job Description

· Act as the point of contact between the manager and internal/external clients

· Accompany Director to meetings – translate during meetings when required, take notes and summarize during meetings. Follow-up with clients when required.

· Travel with Director/Managers for meetings when necessary.

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains Director/executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Translate, interpret for Director. Check all legal documents as requested.
  • Responsible for managing project schedules & deadlines. Check and keep all project related documents in case of Legal disputes in future
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • If necessary, follow-up with Client/Buyers sales targets, sales leads.
  • If necessary, work with Marketing contact for creation of necessary sales/marketing material.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Completes projects by helping/assigning work to clerical staff; following up on results.
  • Prepares reports by collecting and analyzing information.
  • Secures information by completing data base backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Help office manager maint office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies, if necessary.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • If requested, visits to warehouses to follow-up with warehouse/logistics staff to monitor warehouse conditions and products stock level controls.
  • Contributes to team effort by accomplishing related results as needed.
  • Represents the Company Director/Managers by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the president.
  • Helps key executives make consistent decisions by advising them of historical precedents; serving as liaison between them and the president.
  • Arranges corporate travel and meetings by developing itineraries and agendas; booking transportation & accommodation.
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
  • Enhances president's and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Job Requirement

·         Have fluent English and Vietnamese verbal and written communication skills

·         Able to deal with all types of international and Vietnamese corporate and individual clients seamlessly

·         Have excellent management skills and experience of managing a Vietnamese business team

.      Have strong experience related to the real estate industry though high calibre candidates from other commercial industries will be considered
