Job Description

  1. Agency / Supplier management

- Pitching

  • Work with Procurement to identify agency/supplier candidates.
  • Deliver Briefing and following up with agencies/suppliers on their proposal and/or sample production.
  • Evaluate agencies/suppliers¡¦ capability together with line manager and Brand team to select winner.

- POSM production

  • Follow up with selected agencies/suppliers to ensure the production lead time.
  • Control mass production quality and propose fixing solutions in case of having issues.

- Temporary headcount management

  • Follow up with selected agencies to check temporary headcount profile for recruitment.
  • Setup KPIs for temporary headcount depending on project requirement.
  • Track headcount actual performance and review monthly payroll before process salary payment.

- Contract Management

  • Prepare service contract according to budget owner's request.
  • Align with legal and do the sign off as per process.
  • Ensure contracts are up to date.
  • Responsibility for accounts and budgets.

- Budget management & Agency/ Supplier Payment

  • Collect post implementation reports from agencies/suppliers to process payment.
  • Checking data accuracy in orders and reports.
  • Processing invoices for all transactions.
  • Consolidate payment recommendation and payment tracking.
  • Align with Marketing Finance team for budget and follow up payment to suppliers.
  1. Report
  • Follow up with selected agencies to check temporary headcount profile for recruitment.
  • Setup KPIs for temporary headcount depending on project requirement.
  • Track headcount actual performance and review monthly payroll before process salary payment.
  1. Administrative tasks & other ad-hoc tasks
  • Raise BSE, SRM, CPD, make payments.
  • Arrange travel accommodation (raise travel forms, book rooms, flights/cars, get approval of contracts, make reimbursement claims...) for all team members.
  • Adhoc admin work which is necessary among the team & cross functional support.
  • Support line manager in general and routine operations to meet team’s objectives.

Job Requirement

  • A business university graduate
  • At least 1 years' experience in Marketing and/or similar roles with another FMCG organization, and/or agency experience.
  • Good at Microsoft Office (Excel, Power Point).
  • Good at English is an advantage
  • Well organized
  • Ability to work both independently and as a team member.
  • Good general administrative / secretarial skill is preferred.
