Job Description

Purchase and Importation of Leaf & Non-Tobacco-Materials (NTMs)

- Close liaison with Supply Chain planning & Central Procurement to ensure monthly orders of Leaf & NTMs are made to fully reflect market Finished Goods (FG) demands & business sensitivities, and yet at optimum lot size & costs.

- Ensure on-time arrival of NTMs, smooth customs clearance to avoid demurrage fees and/or delayed production, via understanding the local import practices, coordinating with Central Procurement, Factory and external stakeholders (e.g. Custom).

- Timely update & flag-up potential issues, preferably with recommended solutions.

- Contribute towards the overall objectives of having FG demands sufficiently supplied to maximize business opportunities at minimized costs.

• Finished Goods production & deliveries

- Responsible for monthly production planning, ensure safety inventory levels at factory & distributors warehouses yet to balance with stock freshness and minimized write-offs (via regular stock aging analysis & allocation).

- Act as privileged point connecting internal cross-functions with external stakeholders (supply capacity, e.g. setting priorities for customs clearance, working with factory on arrangement of working shifts & manual labors, etc. )

- Ensure stock deliveries from factory to Distributors warehouses are carried out in a timely manner (avoiding Out-of-Stock situations), at optimal costs and with appropriate freshness.

- Frequently review and propose actions to improve logistics quality & costs (truck load, routines, service quality, end-to-end package synergies, etc.)

• Inventory management and Warehouse Management

- Inventory Management administration: Monthly & Quarterly stock counts, FG destruction, factory visits, ensuring proper documentation & procedures in place for internal control & internal audit.

- Frequently review and propose actions to correct and/or improve the storage quality of warehouses (e.g. hygiene, loading, temperature, humidity, security, etc.)

- Initiate & support Quality Control projects to ensure product quality during warehousing & transportation.

- Monthly & quarterly reports: Weekly consolidated inventory, Closing inventory, Management presentation, Transfer price validation, etc.

• Contract Management

- Initiate and/or follow up with relevant stakeholders on the facilitation & maintenance of related legal contracts and licenses, including but not limited to: Master supplemental contract renewal, material contracts, importation quota renewal/ extension, machine license renewal, transportation & warehousing contract renewal, etc.

• Budget & cost optimization

- Bi-annual budgeting; on-going optimization of logistics operation costs (incl. air/ sea transportation, insurance, warehousing)

- Monitor & re-design, where applicable, the distribution network of FG to optimize distribution costs;

- On-going identification of cost saving opportunities, for example via localizing the sources of raw materials/ NTMs, maximizing truck utilization, fully utilizing FTA program.

• Other tasks:

- Closely liaise with internal Finance sub-functions to achieve overall business objective as a team (e.g. with Financial Planning & Analysis (FP&A) for financial impact assessment & budget, Internal Control for compliance, Accounting for Costing, PPO for vendor sourcing)

- Contribute and/or lead ad-hoc projects/tasks as assigned by the CFO (direct report)

Job Requirement

• Bachelor degree, preferably with Logistics

• Minimum of 4 years’ experience in Supply Chain Finance / Logistics, ideally within the FMCG industry

• Strong understanding of Customs regulations, import/export practices

• Inventory Management (quarterly stock-takes, destruction, factory visits)

• Warehouse Management (storage condition maintenance & improvement)

• Project Management skills (to initiate, follow through and drive processes)

• Modelling skills are helpful to understand & support analysis of Leaf/NTM ordering, FG production & inventory management.

• Business & commercial acumen are critical to provide supply chain/logistics analysis & recommendation

• English fluency, MS Office (Power Point and Excel a must)
