Job Description

Strategic and policies: Providing strategic & policies to the CM and CFO in US: how to set up and lead all related Dept. to execute these policies, such as:

  • All the policies related to Credit Limit Control, help the company could manage well the Account Receivable as well as healthy Cash Flow for the company.
  • Cancel Order policies: to reduce the cancel orders from customers and reduce the loss for company.
  • ETD Confirmation process: to reduce the messing in our company operations.
  • MOQ policy: to reduce the lost for order with small quantities.
  • Contract Application process.
  • Penalty application process: Penalties must be checked by all Dept. and approved by CM. Avoid the cases CS finalize the penalties with customers without having verify from other Depts.
  • Building the Cost Centre in line with Company organization: company could control the expenses and productivity by each Dept.
  • Follow up and advice other policies such as: cutting board control process, Glue control process…

Legal & Tax Laws:

  • Together with ACS to prepare the Sales Contract Template with full company’s policies and take a leader role for applying this template for actual operations.
  • Give the advice in cases the issues related to Tax & Legal.
  • Check the legal & tax & payment term before signing the contracts (sales & purchasing)

Finance:

  • Providing and interpreting financial information.
  • Monitoring and interpreting cash flows and predicting future trends.
  • Analyze change and advising accordingly.
  • Researching and reporting on factors influencing business performance.
  • Conducting reviews and evaluations for cost-reduction opportunities.
  • Managing a company's financial accounting, monitoring, and reporting systems.
  • Liaising with auditors to ensure annual monitoring is carried out.

Accounting:

  • Monitor the monthly, periodical reports, tax declaration and tax issues resolution such as VAT, FCT, PIT, CIT… as requirement by Vietnam laws.
  • Compliance with Vietnam accounting standard and company procedures as well as accuracy of all information.
  • Responsible for accuracy AP payment to suppliers, vendors, and advice to purchasing department about their payment term for maximize Cash Flow for the company.
  • Ensure that all the AR been collected on time and minimize the overdue AR. How to have the strong cash flow for company operations.
  • Responsible to track and manage the company fixed assets with proper and accurate booking of depreciation, as well as physical count yearly or periodically as the requirement from BOD.
  • Ensure the inventories balance are reasonable with the operation of the company and to minimize the inventories overstate, so company not paid much money for inventory balance, to review all the inventories procedure to make sure that inventories are controlled correctly.
  • Manage for VAT refund.
  • Working with internal and external auditor, tax Department.

Budget, forecasting and cost control:

  • Managing the processes for financial forecasting and budgets: Manage team for preparing Budget, Forecast for the company. Guideline all departments how to make the budget for next years and forecast as well.
  • Ensure that the actual expenses are in line with Budget.
  • Ensure that the Management Monthly Analysis Report is reflect all the information about costing, revenue, operations of actual compare to budget and prior year. Base on this report, BOD will have the right picture of company business.

Monthly & Quarterly package report

  • Monthly & quarterly Forecast Report send to Head Office.
  • Monthly & Quarterly financial report send to Head Office (including headcount, CAPEX, OPEX, Financial Statement).
  • Monthly & Quarterly Financial analysis to BOD.
  • Others reports required by BOD.

Internal control

  • Check whether the debtors/creditors are accurate to use the information for assessing the current situation.
  • Ensure the prompt detection of and response to any discrepancy in the balance to keep an accurate record of the credit and debit balances.
  • Check the consistency of the result of the Assets & Inventory physical inspection and the ledger balance and detect and address any discrepancy between them promptly to keep an accurate record of inventory & assets.
  • Manage the access authority for all the information systems including Accounting System to prevent fraudulent entry and approval and the leak of confidential information

Logistic, import and export

  • Managing import & export team activities to comply with Customs rules and regulations
  • Arrange truck for CS department to deliver finished goods to Customer on time.
  • Contacting with Transportation Company to book truck.
  • Contacting with Airlines, Forwarder or Shipping Lines to book the vessel and flight to export overseas.
  • Making of a finalization report for Customs when ending year

ERP system

  • Following the ERP system and manage the changing with IT Manager + core team
  • Propose the improvement for ERP.
  • Together with IT team to set up the processes in ERP.

Training to staffs:

  • Budget & Forecasting.
  • Credit Limit control.
  • Accounting process and Tax laws.
  • How to build the Individual Development Plan

Job Requirement

  • Over 15 years of working experience with gain knowledge about accounting, finance, tax, internal control – start up experience at some point in career preferred
  • Microsoft office and ERP sys: Navision, SAP, Oracle.
  • HCM Economic University: Finance & Accounting,
  • HCM Law University: BA in Laws.
  • UQAM: MBA Certificate.
  • Other courses had been trained: Problem solving, Decision making, Supply Chain, ISO, Leadership skills, Competences model and Individual Development Plan, Talent Management, KPIs set up for the company and Departments.
  • Proven experience in finance management.
  • Good communication skills.
  • Strong leadership qualities.
  • Excellent interpersonal skills.
  • Sound knowledge of accounting fundamentals.
  • Auditing experience.
  • Compliance oriented.
  • Proficiency in accounting software.
  • Analytical skills.
