Job Description

Reception Management:

  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Warmly welcome/greet visitors; arrange seats and drinks if needed
  • Receive and sort daily mail/deliveries/couriers
  • Update appointment calendars and schedule meetings/appointments
  • Manage company car, taxi card as per company policy / procedure
  • Arrange accommodation, transportation for business trips of employees, clients
  • Maintain professional presentation of the reception area, meeting rooms
  • Perform other clerical Receptionist duties such as filing, photocopying, faxing etc.

Office Admin Management:

  • Track stocks of office supplies and place orders when necessary
  • Maintain office security, cleanliness by following procedures and controlling access
  • Responsible for vendors setup through SAP, settle all payments as regarding to Admin expenses, other expenses in Concur Evaluate existing vendors’ performance, propose new vendors to improve quality and cost effectiveness
  • Follow up Office Admin Services Contracts / Agreements & proceed the renewals if required
  • Record, file documents, proof to prepare for Audit purpose
  • Assist HR Admin Manager in planning and tracking Office Admin budget, petty cash
  • Assist HR Admin Manager in office maintenance efficiency and innovation by planning and implementing office systems, layouts, and equipment procurement
  • Assist HR Admin Manager in designing and implementing Office Admin policies
  • Involve in Staff activities / events organization
  • Coordinate with HR in Expat Service for Clients
  • Ad-hoc requests from HR Admin Manager and Support Services to Operations when requested

People Management:
Assist HR Admin Manager in supervising and developing Tea Lady, Drivers, and Messenger(s)

Job Requirement

  • College / University degree
  • At least two-working-year experience in Office Admin
  • Self-motivated and results driven
  • Professional personal presentation
  • Ability to multi-task
  • Team Player; Commitment to personal learning
  • Dedication to quality and a sense of personal responsibility
  • Ability to organize and prioritize workload efficiently
  • Excellent telephone manner and a friendly and welcoming approach to all
  • Good communication in Vietnamese and English
  • Can use Word, Excel, Email
