Secretarial and Administration:
- Organise meetings and ensure that the Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
- Type correspondence, reports, contracts, faxes of the Director
- Translate into English / Vietnamese (letters, press materials,…)
- Take phone messages, screen calls and enquiries when the Director is absent or in meeting
- Arrange refreshments for visitors when meeting with the Director
- Maintain proper filing of all documents daily both in hard copies and scanned copies
- Arrange visa, travel (both local and overseas) booking, notarization, legalization, etc. for the Director’s Office and visitors when requested
- Hotel and air tickets booking for the Director’s Office
- Maintain confidentiality of all matters pertaining to the Director’s Office.
- Set together the agenda for meetings
- Join in meetings take notes of key topics & decisions
- Need to have some knowledge of MM Mega Market Business, Strategy & upcoming action plans
- Structure communication with other Departments
- Participate actively in key events
- Other ad-hoc secretarial and administrative duties when requested.
- Bachelor degree or equivalent qualifications
- Experience: At least 2 - 3 years of experience as PA, Secretary or similar role.
- Language: Good at English (Chinese is a plus)
- Good at data analysis and reporting
- Proficient communication skills
- Flexible to travel (Sometimes during weekend)
