Job Description

Key Accountabilities:

  • To be responsible for the management of the asset storeroom.
  • To ensure the accurate management of apartment assets and the subsequent communication of asset information to the Chief Accountant.
  • To monitor and control the movement of the assets throughout the building.
  • To develop of list of long-term and short-term qualified goods and service contractors and suppliers of the Company for the Management to evaluate on quarterly or annual basis.
  • To be responsible for getting competitive quotes for goods and services from qualified contractors and suppliers.
  • To implement and follow up all approved daily goods and service orders and purchases of the Company.
  • To co-ordinate with external contractors for deliveries of goods and services to the Company and implementations of the Company’s requirements at work.
  • To co-ordinate with telecommunication and internet service suppliers to provide and maintain Mayfair-provided relevant services to apartments/ tenants, and the website, emails, IT system and equipment of the Company are always working properly.
  • To coordinate with the Chief Accountant and AOM with regard to ensuring the correct purchasing procedure.

Specific duties

  • Manage, and be responsible for, the physical assets of the company (furnishings, fittings, appliances etc.).
  • Manage the moving of furnishings, fittings and appliances in and out of apartments at request.
  • Prepare and maintain individual apartment inventories with Lease documents.
  • Maintain a computer record of all company assets including number, location, replacements etc.
  • Provide monthly records of asset status to the Chief Accountant and copy to AOM.
  • In conjunction with Housekeeping Department Heads, purchase and maintain a suitable store of cleaning products and machines.
  • In conjunction with Building and Service Department Head, purchase and maintain a suitable store of daily repair/ maintenance material, working tools and machines.
  • To co-ordinate with AOM and Department Heads to prepare a proposal for stock of AC spare-parts, furnishings, fittings and appliances etc. on annual or quarterly or case basis.
  • To co-ordinate with AOM in checking and supplying inventories to apartments upon tenants’ check-in, check-out and requests.
  • To develop a list of selective qualified goods and service contractors and suppliers (at least three) with competitive quotes and recommend the best option to GD and Management for specific purchase requisitions if required, and renovations/ projects.
  • To manage preparation of the approved goods and service orders and purchases as well as relevant documents/ contracts to make sure an accurate and timely delivery of goods and services to the Company and individual apartments at request.
  • To ensure that items purchased are of high quality and competitively priced.
  • To ensure all external contractors implement fully and correctly all requirements set up by Management to specific work, services and renovation projects.
  • To coordinate with AOM and Department Heads to organize work (working schedule, work requirements and progress and location of apartments or work site within the building etc.) with external contractors and a proper supervision to external contractors’ workers and performance at Mayfair.
  • To be responsible for dealing with external contractors for any arising issues and additional requirements by the Management.
  • To co-ordinate with AOM and Department Heads in making an assessment on external contractors and suppliers’ services and performance on quarterly and annual basis if required.
  • To co-ordinate with Chief Accountant and AOM to work on and implement periodical plans of garage sales.
  • To maintain internet and IT system of apartments and the Company in normal operating condition all the times.
  • To assist office managers and staff in doing their daily duties at requests.
  • To implement other duties required by the Management.

Job Requirement

Have 3 - 5 years experienced in related field 


  • Negotiable - Salary will be commensurate with qualifications and experience ( 10-20 million/month)
