Job Description

The Receptionist cum Administrative Assistant is responsible for welcoming, directing and assisting visitors/business partners in professional manner which at the same time maintains an excellent image of 7-Eleven. This position also supports and carries out certain administrative tasks, relating to Human Resource & Administration (HR-AD) Department, in order to assist Board of Directors and other departments at our company HQ.

RESPONSIBILITIES

Reporting to: HR-AD Manager

· Receptionist (60%)

- Cooperate and assist CEO, relevant departments in greeting and guiding visitors/business partners who come into office or contact via other communication channels

- Answer phone calls, email; Response to customers’ queries and redirecting information to relevant departments within the assigned work scope

- Manage office equipment relating to HR-AD Dept. and ensure they are in good conditions

- Assist other departments in receiving correspondence in and out; Receive, sort and distribute daily mail/deliveries to departments

- Cooperate with building management team to solve office management issues and visitor access control procedures

· Administrative (40%)

- Assist CEO and Department Heads in following work, meeting, business trip schedules, and other tasks to ensure activities are going as scheduled

- Collaborate and monitor office stationery, materials and necessities ordering for the office

- Support and monitor official documents following the company rules & regulations

- Create and edit departments’ official forms appropriate to Department Heads or BOD’s direction

- Guide and assist in the usage and maintenance of office equipment

- Collaborate and support periodic internal events

- Assist in other office tasks as request by Head of Department

Job Requirement

·         Must be fluent in English (both 4 skills), knowing Japanese or other foreign languages is an advantage

·         Bachelor/College Degree in English, Law, Business Administration, Office Administration

·         Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Internet, G-suite…

·         Communication skills (both in writing & speaking)

·         Administrative document drafting skill

·         Time management and organization skills

·         Decision-making and problem-solving skills

·         Ability to work both independently and in a team

·         Honest, proactive, positive, meticulous and responsible
