Job Description

I. GENERAL DESCRIPTIONS:

  • In charge of all activities related to sales admininstration and keep contact to the customers.

II. JOB DUTIES:

  • Manage the orders, the claims and report to the Manager.

1. Orders:

  • Receive the order from customer. Update all information on ERP system and other documents.
  • Working with the Production Manager to get the confirmed delivery date.
  • Send out the order confirmation and contract to the customers.
  • Follow the orders and issue the shipping documents (invoice, packing list and shipment request) for exporting.
  • Follow the shipping schedule, transit time, record the ETD and ETA.
  • Send out the shipping documents / orginal documents (Invoice, packing list, B/L …) to the customers.
  • Record the documents to correct file and folder after finishing the shipment.

2. Claim:

  • Acknowledge the claim.
  • Collect the information from customers and issue the official claimed documents.
  • Working with related departments (QC department…) to get the report of claim.
  • Send out the claim acknowledge, the investigation report to the customers, try to get their feedback.
  • Record all information on the claimed file.

3. Report:

  • Update weekly report (Order book updated) and send to Group.
  • Handle weekly commercial meeting.
  • Update the monthly report shipment (sample sending, sample receiving, returned shipment…)
  • Monthly cut off checking file
  • Monthly trade report - send to the Group with the analysis

III. REQUIREMENTS:

  • At least 3 years exprience in working at the simialar position.
  • College/ University degree major in Business Administration or related fields.
  • Confident to communicate with customers in English under email or phone discussion.
  • Proficient in working with computers with office softwares, ERP system.
  • Able to do multi-tasks, work with different departments.  
  • Supportive, friendly, hard working, responsible, faithful, careful and tidy.
