Sales Administrators play a key administrative role in supporting the commercial team and provide an important link between the salesperson and the client. Reporting to Commercial Lead, she/he works in a challenging environment, processing all sales-related paperwork, such as verify and input customer information into CRM system, creating customer contracts, preparing pricing documents, relaying order instructions, completing monthly sales report and maintaining good customer relations.
Create and Maintain Customer Records (20%)
Creates records for new customers, including contact details and all of necessary information, and input into system (eg. CRM, M3 or 1QM).
Update the records with details of orders and invoices. These records provide useful data for sales reports and for planning future sales and marketing campaigns.
Sales and Sales Support (60%)
Coordinate with sales representative and relevant stakeholders for sale contracts preparation, and EN-VN translation, if requested.
Deal with routine requests from customers, such as requests for price quotes, delivery date or payment status.
Provide support for sales representatives when they are away from the office: Take calls or e-mails from customers and alert representatives to any urgent issues.
Pass any technical queries from sales representatives or customers to the appropriate departments. They update representatives on orders or deliveries.
Monitor, tracking and manage the gimmick inventory.
Support Commercial Lead on updating consolidating forecast, preparing weekly/monthly sale report, and other paperwork related to commercial department
Continuous improvement (10%)
Signals bottlenecks in (work) processes, procedures and/or systems and contribute to the change / optimization of the department.
Communication / Coordination (10%)
Communicates with clients and informing them about solutions to problems / complaints. Explains options on alternative products.
Informs managers on complex problems / complaints. Conducts correspondence and preparation of reports
