Job Description

Overall purpose of the job: Sales Coordinator works closely with Head of Marketing and Store Marketing Manager to oversee and execute all aspects of event planning and management, including internal and external events, with experience planning exhibitions and large business – to – business events.

1. Execute event plans

1.1 Create event proposals which match with customers’ requirements and presenting proposals by deadline

1.2 Plan event expects, such as venues, seating, dining and guest list

1.3 Delegate event execution tasks to related functions where necessary

1.4 Coordinate event entertainment, including music, performers, and guest speakers

1.5 Manage and oversee the operations of event days, including problem – solving, welcoming guests, directing event set-up, coordinating with other “on floor” team members and organizing vendors

2. Accounting and Finance

2.1 Stay under budget while planning event specifications

2.2 Issue invoices and collect payments in a timely manner, and create comprehensive and readable financial reports

2.3 Anticipate and plan for any challenging and different scenarios of the events then work closely with IT (POS) and Accounting to ensure all the procedures are in place

2.4 Liaise and follow up with POS Executive to create special functions / buttons on the system before the event days

3. Sales and Marketing

3.1 Assist Head of Marketing and Store Marketing Manager on demonstrating to clients strong knowledge of venues and vendor offerings

3.2 Work with Operations to arrange tours of venue possibilities

3.3 Create sales opportunities for future events during customers liaisons and during events, including possessing a strong working knowledge of the company to further these sales opportunities

3.4 Communicate with Marketing team to create effective advertisements for each event, and when necessary crafting marketing materials such as printing and Internet advertisements for individual events

4. Administrative and reporting

4.1 Build and maintain local trade area database

4.2 Build and maintain other databases as required such as CRM, feedback, partnerships, KOLs, press coverage, etc.

4.3 Compile market intelligence, ranging from menu, promotions, newsletters and other developments, with a focus on direct and indirect competitors

Job Requirement

  • Minimum 1 year of event coordinator/ sales coordinator experience in service / F&B industry is a must
  • Strong project management, customer service and relationship building skills
  • Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied customers
  • Exceptionally detailed – oriented and organized, ensuring quality and consistent output
  • Ability to maintain a professional and positive attitude and work independently with little guidance in a fast – paced, changing environment
  • Proficiency in MS Office applications
