Job Description

The scholarship officer is the central person in charge to handle all kinds of scholarship opportunities for students and staff. The officer will handle the whole process, from acquisition of new opportunities, developing regulations until implementation of the procedures.

  • Developing, updating and publishing scholarship regulations;
  • Unifying selection procedures for different study programs (such as for German Academic Exchange Service - DAAD scholarships);
  • Organizing scholarship granting ceremonies;
  • Finding out new scholarship opportunities in general;
  • Setting up statistics and numbers regarding scholarships and archiving scholarship data;
  • Organization of semesters abroad for Vietnamese students joining in exchange programs, including communication with the International Offices of Partner Universities, students and academic coordinators for selection process;
  • Supporting the selected candidates to receive the study places and prepare for the trips to Germany;
  • Prepare and support for incoming exchange students at VGU, before they arrive. Including the communication with exchange universities, support in VISA affairs and information of students about VGU and incoming procedure;
  • Prepare all relevant paperwork and documents for outgoing and incoming students, internally and related to the requirements of partner universities;
  • Announcing scholarship opportunities according to the specific requirements;
  • Collecting and pre-selecting applications;
  • Finding the selection committee members;
  • Participating during selection interviews;
  • Preparing the final rankings and minutes of selection;
  • Supporting the selected candidates to receive the scholarships and prepare for the trips to Germany;
  • Preparing all related decisions (e.g., decision to form the scholarship selection committee, decision to grant the scholarship to selected students, etc.) and documents (e.g., list of applicants, list of scholarship winners, etc.) and send them to the Presidential Board for their signatures or associated departments at VGU to speed up the scholarship transfer process;
  • Getting in touch with scholarship donors during the scholarship granting process and acting as a liaison officer between them and VGU;

Job Requirement

  • University Bachelor Degree in relevant or related fields
  • Knowledge about examination procedures, university administration and Vietnamese legal regulations regarding all examination procedures; 
  • Very good proficiency in English both in written and orally;
  • Good command in using MS Office Software;
  • Creative, initiative, can-do attitude;
  • Be able to work efficiently, independently and self-organized;
  • Experience in university administration;
  • Good manners of expression, good writing skills and organizational skills;
  • Ability to work cross-teams in a service and outcome-oriented way;
  • Good communication skills;
