Job Description

· Manage and track calendar, dates of head of Segment.

· Evidence of Outgoing, Inbox, and Internal Mail

· Organizing business trips

· Organizing for visitors + cleaning

· Managing travel orders - issuing travel orders (senior + factory workers) + engaging new THP colleagues for application, billing and archiving.

· Support legal topics for visitors and supporter, expat

· Securing hotels and air transport for all colleagues traveling on a business trip and cars for colleagues from manufacturing (THP requesting themselves)

· Provision of accommodation for external visits

· Securing office supplies for whole segment.

· Documents and storage according to ISO/IATF requirements.

· Electronic Documentation - Coordination, Consultation, Guidance, Intrusion Records, Assignment of Tasks in CA, Monitoring Implementation

· Support Segment manager for cost monitoring

· Provision of representative articles (Kaizen)

· Provision of meal for segment employee.

· Meeting room management, 5S - Responsibility for Secretariat, Head of Segment and Meeting + Coordinator in all other offices

· Liability for long-term and short-term property of the Segment inventory

· Evidence of participation of THP employees

· Overtime + Storage - R-Cat.

· Create job descriptions, and other personal documents - change cards, training plans ...

· HCO requisition and tracking.

· Provide training vouchers for personnel departments

· Book Management Training - THP

· Training and effectiveness monitoring - THP

· Employee Tracking + Updates

· Updated organizational chart

· Responsibility for the timeliness of the spare matrix for THP

· Access permissions - SAP and Network colleagues

· Release the MAFF + cancellation logs

· KVP - importing tasks into a system based on top segment requirements + monitoring their performance

· Securing minor adjustments in building maintenance

· Coordinates annual tax accounting for the entire segment

· Managing and updating folders - infopublic, intranet, data ...

· Complies with all Schaeffler environmental regulations and policies as defined in the operating procedures

· Complies with QS regulations

· Complies with Schaeffler organizational standards

Responsible for cleanliness and order at your workplace and documentation

Job Requirement

·         Graduated from university majoring in Economics, Business Administration, Foreign Trade, Foreign Language.

·         Professional experience: There is a general understanding of corporate governance activities.

·         Using MS office fluently

·         English: can translate documents; Interpreting meetings with regular social-communication content

·         Ability to organize and deploy work independently and manage time well.

·         Have skills in writing reports; aggregate - update information.

·         Good communication skills (for both Vietnamese and foreigners).

·         Ability to communicate effectively internally with leaders and employees as well as effectively communicate with outside organizations and customers.

·         Professional style, confident.
