Job Description

Key Responsibilities & Accountability

  • Implement Inventory procedure to guarantee an accurate Stock Situation: conduct accurate record keeping and regular cycle counts.
  • Monitor expiry dates of products, damaged and obsolete products.
  • Produce management reports related to stock levels by SKUs and batch.
  • Manage and ensure warehousing operations. This includes:
  • Receiving, Storing, Stock Replenishment
  • Picking and Packing, Labeling, Dispatching of orders
  • Loading and Returns that impact the stock situation.
  • Build, lead and motivate the warehouse team to assure timely and cost-effective service levels.
  • Define clear duties and responsibilities to each team members.
  • Ensure that staff is adequately trained (security, hygiene, job knowledge).
  • Ensure complete staff attendance
  • Maintain strong relationships with internal departments like:
  • Purchasing & Admin department to ensure receiving of products
  • Customer Service/Sales Admin department to ensure delivery to customers
  • Finance department to control logistics costs (*) and agree on return procedure
  • Sales department to satisfy specific customers’ requests when feasible
  • (*) Monitor expenses of the logistics department. Provide necessary input for capital expenditure requirements.
  • Meet KPIs to monitor performance and cost efficiency in warehousing.

Inventory Management / Stock Management / Store Management (Relation with Inventory Controller)

  • Clear Segregation of products by category and by supplier in the warehouse for easier recognition, picking, replenishing, counting, etc.
  • Segregate clearly a same product according to expiry date/batch
  • Conduct regular cycle counts (fast movers/high value products/weighted or per unit products/and short shelf lives for each product category (dairy, meat, etc.)) daily
  • Ensure the 2-annual stock takes (all products count)
  • Ensure stock adjustments with reason code after investigation of discrepancies (Report given to the Finance department) following each cycle counts and stock takes
  • Alert management with list of products to be expired (1 week to 1 month ahead)
  • Act consequently if stock can’t be sold on time
  • Ensure that all products are labelled with magnet labels on the rack (avoid error picking and ease operations) and product categories labelled per zone (jam, cheese, juice, chocolate, etc.) (Warehouse Storage Location Assignment)
  • Ensure products are stored in good temperature conditions.
  • Ensure that the warehouse is clean and tidy.
  • Ensure that all products have labelling sticked with correct information following Vietnamese regulation
  • Segregate non-saleable products (to be disposed or used for demo)
  • Segregate damaged products (dented)

Job Requirement

 - College or University Degree, preferably in Business, Economics or Accounting.

- Minimum 1-2 years experience in equivalent position.

- Experienced in management, organization, hands on work

- Good communication in Vietnamese and English, high ability to communicate, listening.

- Have the ability to investigate and investigate issues, and make decisions and solve problems based on information gathered.

- Confident, active and forward-thinking.
