1. Admin tasks:
- Screen and transferring calls, welcome guests to the office.
- Keep the Reception area & office always clean and tidy.
- Follow up and update all IT problems and solutions with IT staffs.
- Book air flights ticket, hotel & prepare travel allowance, pay travel expense for staff’s business trip.
- Support Affiliate’s guest to book accommodation and transportation arrangement.
- Manage car booking & taxi cards, post service.
- Manage office supplies stock and place orders: cartridge for printer, paper bag, envelop, mineral water, …
- Follow up Office service contract.
- Organize Office’s activities: dining, teambuilding, …
- Support for other admin tasks & other function when required.
2. Office expense payment & monthly cost reporting.
- Handle the payment to suppliers.
- Procurement & Expense management.
- Do monthly expense reports to head quarter office.
- Support Ad hoc tasks assigned.
3. Oder processing
- To receive, acknowledge, do entry customer orders into Glovia system.
- To follow up on customers’ order status on daily basis to ensuring meeting customer promise date.
- To co-ordinate and liaise with all functions within Operation Management team, Supply Chain team & QA team ensuring orders are been processed and to be expedited on time to customers.
- To perform backup role within customer service team when one is absence.
- Have knowledge of office procedures.
- Good knowledge in import, export operations, logistics;
- Fluent in oral & written English
- Good at computer skills.
- Able to work independently & strong sense of responsibility.
- Careful and attentive to details, accuracy.
