MISSION STATEMENT

Help the company to achieve profitable growth by ensuring the achievement of department targets and KPIs in accordance with SOPs & other working instructions.

ROLE

The FM’s activities, which lead to the achievement of objectives, have three main objectives:

· Maintain/grow loyalty of targeted customers for own division/departments

· Maintain and improve on sales budget, cost control, margin for all categories particularly non food

· The improvement of the staff’s skills and the communication in the store

Achieve store targets for sales, profit, shrinkage, availability and stock control by implementing the highest standards of daily basic management

Execute HO strategies relating to non food. Act as an information bridge between HO, store, customer and suppliers

Together with Store Sales Force, develop and implement action plans to tailor specific solutions for target customer groups; thereby increasing their customer loyalty and wallet share

Develop staff skills by on the job coaching and implement succession planning within your departments.

KEY RESULT AREAS

Key Accountabilities:

- Achieve commercial KPI targets for responsible departments

- Ensure the whole store operation and management standard when acting duty manager

Key responsibilities

Ensure that the highest levels of operational standards are achieved

· Continuously check sales departments throughout the day, focusing presentation, availability, quality, pricing, zero stock, promotion implementation, tidiness and cleanliness

· Check customer service levels of staff and deal with any serious customer complaints that arise

· Execute instructions from H.O. timely

Range availability and local customer needs:

· Spot check assortment to ensure that all articles open to order are available upon the shelf

· Work with regional local demand coordinator and Sales Force to ensure that the local assortment is in line with customer needs and reflects seasonal changes

MM and Other Promotion Execution

· Fortnightly meeting to discuss ordering and presentation of MM highlighted articles

· Review performance of previous MM and give timely response to H.O. Store Operations regarding problem articles

· Check promotion presentation and signage

· Give proposal to OM regarding articles to be selected for Last minute / Week-end promotion and any other promotion organized by H.O. Ensure that sales targets are achieved

Stock & Order

· Monitor ordering process of DS in order to maximize sales opportunities & minimize stock problem

· Train and coach DS to help them improve their ordering ability and stock file accuracy

· Spot check everyday the daily reports used by DS (Zero Stock, 1&2 stock, minus stock, article change, price change, stock corrections). Take action when necessary

· Recognize problem departments and together with relevant DS, develop action plans to improve performance

Inventory process is respected:

· Ensure proper implementation of daily, weekly & monthly inventory in accordance with the SOP

· Spot check counting by department to guarantee the accuracy of the result

· Monitor results & develop action plans that are used to ensure that the shrinkage targets are achieved

To assist in Stock takes

  • Ensuring that Line Managers meeting the P.I deadlines set by Head Office
  • Processing the counts
  • Playing a key role in the annual stock take by assisting the Line Manager in the presentation e.g.

- Numbering bays

- Organizing equipment from other stores

- Planning the times of counting

- Choosing the most suitable staff to be part of the counting tem

- Group staff together as appropriate e.g. NF staff to count NF, etc

- Liaising with the Company Audits as necessary

- Collating and downloading information to give an initial result

- Helping with investigations and re-punching after the original count

Key Customer Development:

· Know top 10 customers for your departments and check weekly the development of your DS top 10 customers for their department

· Communicate daily with Store Sales Force team and ensure customer requirements and new customer developments are communicated to HoD.

· Ensure that new products are introduced to Sales Force and problems discussed are followed-up and a satisfactory solution found

· Ensure customer orders given by Sales Force are ordered and prepared in time

PCS & Market Knowledge

· Coordinate DS to carry out price checks in accordance with the PCS process. Spot check their work to ensure that the information is accurate. Cooperate with Secretary to SGM to ensure that the PCS information provided to H.O. is timely and accurate

· Work with DS to monitor the sales and stock situation of articles within the PCS basket

· Understand market trends and keep OM updated with regards to changing information and important issues

NF FM will be responsible for non food BVS respectively. With regards to the BVS process, these managers should ensure the following:

· Lead DS team to fully implement the BVS approach

· Draft the monthly BVS plan and report to SGM and H.O. BVS manager

· Check the visiting of responsible DS for BVS customers and take personal responsibility for large BVS customers (customers who generate 60% - 80% of the BVS business)

· Monitor the whole BVS process and be responsible for the final result

· Ensure that SOP is followed with regards to right voucher usage and FIFO approach

Staff management:

· Convey clear objectives and discuss department performance to DS and staff via daily briefings and weekly meetings

· Provide constant on the job training and coaching to DS

· Develop succession planning for staff within responsible departments

· Ensure staff follows company regulations and give counseling or disciplinary action if required

Manage his area with the following routines:

Daily:

· Check together with his DS the cleanliness, tidiness, presentation, freshness, quality, rail card, 0 stock especially MM, planogram, trolley with remaining articles, etc, to sum up check result for daily activities of department

· Check turnover especially MM sales, stock level, lists of 0 stocks, 1/2 stocks, minus stocks, daily inventories (10 items per department), articles change, price correction, stock correction, situation of good receiving, ordering, price deviations

· Office routine: mails, customer complaints, meetings, discussions, etc.

Weekly

  • Prepare the next MM presentation & ordering with the head of department
  • Checking and approving department working schedules
  • Update special reports (old stock, articles status one without stock, etc.)

Monthly

  • Checking and approving monthly inventory list of (non food) departments
  • Meeting with his head of department for a general overview of TO, shrinkage, FTE (full time employee), rotation, customer’s information with the FM of the CC, general

Yearly

  • Prepare execution of the yearly inventory
  • Evaluation of the performance of Department Supervisor in his/her responsibility area

1.     Skills

  • Bachelor degree or equivalent qualifications, preferably in Business, Economic or related discipline (Must have)
  • Organised and able to follow detailed working procedures
  • In depth knowledge of MM Mega Market’s working processes and procedures
  • Overall apprehension of the store, assortment structure, processes, systems and procedures
  • Loyalty and commitment to follow company procedures
  • Very good product knowledge as well as process knowledge of proper ordering and stock keeping

3 years working in management in both a sales environment and an environment where frequent contact to government bureaus whose job is to supervise the activity of retailers and wholesalers was required.
