JOB SUMMARY

The General Affairs Senior Staff position will take the responsibilities in management of the jobs related to the clinic section, working environment and other support services accordingly for expats/visitors including but not limited to housing, visa, passport, working permit as well as support general affairs aspects to all associates, includes company transportation, uniforms, stationery and office consumables. Duties will include interaction with Vietnamese contractors and suppliers. Support factory management in establishing professional relevant procedures, processes for GA functions. This position reports to General Affairs Supervisor.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Take the main responsibilities in contact with and management of service suppliers: cleaning, meals, gardening, clinic, lessors and others… and make sure all services are in line with standard requirement.
  • Take the key role in organizing all company events.
  • Oversee locker allocation and maintain good security in locker areas.
  • In charge of travel requirements and documentation needs for both site visits and travel abroad for associates working at the Vietnam site, to include invitation letters, air ticket, hotel, visa, health examination, work-permit, temporary residence card.
  • Monitor and be sure for the cleaning working environment in factory by close co-ordination and management of cleaning service supplier.
  • Management of Clinic Section and be in charge of health check for new hires as well as organize periodic health examination for all employees.
  • Oversee waste materials selling, garbage
  • Management of meeting rooms and office facilities.
  • Support arrangement of using bus/car in company to optimize the resource and costing saving for Company
  • Be a backup in team management for GA Supervisor in her/his absence.

MINIMUM QUALIFICATION REQUIREMENTS

Education

  • University graduate or equivalent experience and competencies.   

Experience

  • Prefer experience in a global company or manufacturing of up to 1000 associates.
  • Have more than 3 years experience in General affairs functions at the same level
  • Have experience in response to office agencies; updated current regulations related to General affairs job as mentioned above.
  • Strong experience in managing the service suppliers to maintain the good service for Terumo and all associates.

Skills

  • Strong English communication skills (both written and spoken) and Vietnamese.    
  • Proficient with common office equipments to include use of computers and common office software tools such as MS Office.

ADDITIONAL INFORMATION

  • Must have the ability to travel occasionally on company business within Vietnam and outside the country.
