General Admin task:
· Perform receptionist duties, such as greeting and assisting customers, answering and directing phone calls, and taking messages.
· Perform basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail, entering data, and running basic or standard reports.
· Provide administrative support, such as booking meeting rooms, coordinating daily office activities, making car
arrangements, coordinating with company event organization (seminar, happy hour, preparing birthday, wedding, congratulation cards) and following up making the name cards, brochures, printing documents and providing related support.
· Book the hotel rooms and air tickets if requested.
· Control the taxi cards distributed to the users.
· Prepare the correspondence out relating to Admin activities.
· Take charge of purchasing office supplies, coordinates with agency/suppliers to get quotations depending on the needs of business.
· Make the monthly report and payment requests for telephone, internet, transportation, stationery, taxi, etc.
· Control mobile simcard and co-ordinate with HR to keep track of the monthly cellphone use limit of staff.
· Supervise the messengers and outsourced cleaner.
· Follow up with the building maintenance team for maintenance schedule of air conditioners and lights, etc.).
· Liaise with the health care insurance company to follow up health care and personal accident claims for employees.
· Do other tasks assigned by HR & Admin Manage
· Fresh College graduated.
· Sound knowledge of secretarial and administrative skills.
· Fluent in English for smooth operation of business.
· PC-literacy: Advanced user of Microsoft Word, PowerPoint and Excel and other programs.
· Capability to organise events and people, planning and organisational skills.
· Multi-tasking with good ability to prioritise tasks, able to manage own working time effectively.
· Ability to work with deadlines.
