Mô tả Công việc

Mission: This position holder is responsible for

  1. Providing general office administration support to Hoa Mac Factory to ensure a secure, safe, and efficient workplace for all offices.
  2. Play the role of requestor for processing purchasing requests for the Administration department.

Provide support in organizing engagement activities


1. Office Administration: Perform office administrative tasks to ensure secure, safe, and efficient workplaces for all ADM staff of the assigned location in the below office administrative areas

  • Maintain building and premises in proper operational conditions and
  • Organize the supply of utilities (stationary, electricity, fuel, gas, water, etc.)
  • Establish, monitor, and operate means to protect employees and the company’s fixed assets
  • Support related departments to expedite fire prevention, door access control
  • Cleanliness: Organize office cleaning services to ensure cleanliness, sanitation, and a healthy working environment.
  • Provide administrative support to the Company and team, including name card printing, providing guidance on T&E policy, and other related matters.
  • Organize and provide visitor reception services.
  • Operate telephone switchboards.
  • Control and manage all outsourced services, and vendors to provide service as in contract & requirement from the Company (cars and driving service, landscaping maintenance service, cleaning service, copies service …)
  • Handling, managing, and filing documents, in-coming/out-going calls, emails, facsimiles, couriers,… etc

2. Purchasing Requestor: Play the role of purchasing requestor to raise purchasing requests of the Administration department

  • Collect requests related to stationary, car rental, small supplies
  • Work with the vendor & Purchasing team to get a quotation.
  • Access to Navision account to raise purchasing requests & provide related information to support PO processing.
  • Manage delivery information and double check receipt
  • Post receive to close PO
  • Book the accrual cost: Tracking, PR, PO, and book accrual to make sure PR, and PO is processed timely

3. Supporting Role:

  • Provide support in organizing engagement activities (Christmas Party, New Year Party, Tet Party, Company Outing, gift delivery, health check…)
  • Follow with services toward Expatriates on the work permit, resident card, entry visa, and other guidance.

Yêu Cầu Công Việc


Education: University Degree, preferably in Business Administration, Law, Foreign Language

Working Experience: At least 2 years of experience in general office administration

Business Understanding:

  • The related industry (agriculture, food, and feed)
  • The understanding of company values & culture

Others (e.g., language skills, technical skills):

  • Good communication skills
  • Excellent organization and time management skills
  • Having a high level of confidentiality, integrity, and business ethic
  • Supportive mindset
  • Good computer literacy, especially in MS Word, Excel, and PowerPoint
