• Act as the first point of contact between the Director and managers/departments and outside contact; • Reporting to Director and performing secretarial and administrative duties. • Manage diaries by scheduling, prioritizing, and managing appointments, planning and organizing meetings, and sending reminders; • Take dictation and meeting minutes; • Managing internal and external correspondence/Preliminary drafting of correspondence on the Director's behalf; • Managing correspondence, tracking incoming and outgoing correspondence, and ensuring replies are produced within the required timeframe; • Ensure that cyclical and management deadlines for reports and reviews are met; • Typing, formatting, and producing/editing reports, documents, presentations, and briefs; • Handle requests and queries appropriately; • Liaising with internal departments, make travel arrangements (flights/hotel/taxi picking up); • Devise and maintain office filing system; • Follow the process of all other directions, orders, and requests from Director daily.
