Mô tả Công việc

  • Responsible for the first line of communication with ongoing calls and correspondence, so it is important that all phone calls are answered in a professional manner and redirected appropriately; and that all incoming correspondence (mail, fax, general emails, letters) is distributed in a timely manner to recipient, coordinating out-going correspondence to ensure efficient delivery; receiving and distributing newspapers and magazines.
  • Manage meeting room bookings, car bookings, travel and accommodation bookings to ensure priority is given to importance of one, and that booking clashes are avoided, and ensuring there is clear and timely communication to employees wishing to book (for example: booking confirmations).
  • Ensuring the public and working areas of the office are maintained in an ordered, clean and tidy fashion at all times.
  • Maintain an updated list of business contacts (company employees, subsidiaries, suppliers) and issued company documents for the General Director, and for the use of any other Director, and provide those details upon request in a prompt and timely manner. The database should be updated at least monthly to ensure good access to information.
  • Reception of office visitors by professionally greeting all visitors, notifying their presence to relevant employees, organizing beverages and directing them to the appropriate meeting room.
  • Assist the Administration Department with general administrative duties including but not limited to: office safety, office cleanliness, office maintain and office equipment, office coordination and set-up of employee events; employees benefits expenses (8/3, Tet holidays…), office expenses (parking, flower, transportation…); visa applications; business card printing; time-and-attendance record-keeping, organizing the driver schedule; purchasing and archiving/filing; welcome newcomer, assist with translations; and any other general duties of an administrative nature as requested.

Yêu Cầu Công Việc

  • This is an entry-level position for a keen and self-motivated individual to learn about general business administrative procedures.
  • A minimum of two year of experience as a secretary or administration officer is required.
  • Good at English (4 skills)
  • A positive attitude and bright personality are requirements.
  • A professional phone manner, and presentation, particularly when greeting guests to the office.
  • Intermediate organizational skills and time management skills with the ability to work under pressure and to tight timeframes on occasion.
  • Intermediate knowledge and experience using Microsoft Office Suite and/or Linux including email, word processing and spreadsheets.
